Administrative Mastermind
Job Type: Part-Time - Project Based - Contract
Position Overview:
The Ujima Center for Collective Work is seeking an energetic person to serve as the Director of Administrative Services in direct support of project development and execution. This individual should have keen organizational, analytical and innovative skills that foster organizational collaboration while achieving established organizational goals. The Director of Administrative Services will provide administrative and operational support and report to Kuumba Collective’s and Sankore Consulting’s principal consultants. A successful individual is mission-driven and flexible.
Primary Duties & Responsibilities:

Assist the Principal Consultants with the management of multiple projects simultaneously by coordinating office activities and operations to secure efficiency and compliance

Research, assemble and summarize pertinent information from various sources (e.g., internal files and documents, agency stakeholders, and external sources such as the Internet and clients) based on general or specific instruction for the purpose of preparing proposals, presentations, trainings/workshops and evaluation reports

Manage and maintain project management processes and tools ensuring they are up to date and implemented properly

Assist in event planning, support and set-up/break-down

Maintain records (electronic and paper files) of current and historical documents

Maintain organizational calendars to include scheduling meetings; reminding team of scheduled meetings, deadlines, conference calls, etc.; and maintaining and monitoring daily commitments and tasks

Assist with social media initiatives by providing creative and innovative ideas for social media platforms

Assist with general office duties including but not limited to printing, photocopying, replacing toner and paper in office equipment, file organizing and other minor office equipment monitoring and maintenance

Assist with other duties as assigned by Principal Consultants and other agency staff

Qualifications:
-
At least 2 years of college or post-secondary education required
-
Minimum of 2 to 3 years of related field experience in office administration, project management, or similar role with skills in researching, reporting, scheduling, planning, managing processes required

Minimum of 2 to 3 years of experience in customer service or retail sales or related field highly recommended
Knowledge, Skills and Characteristics:

Familiarity with office management principles, procedures and processes

Effective written and verbal communication skills, interpersonal skills, and problem-solving abilities

Ability to work independently and cooperatively as a team player in a shared office space

Ability to function and progress in a fast-paced environment; the ability to cope with pressure and challenges; flexibility; good time management
